In a food manufacturer’s dry-goods warehouse, a pest control account manager in a green work jacket, holding a dark folder, walks the racking aisle beside the client’s food-safety manager in a white coat and hairnet; a low black monitoring device sits at the foot of the racking.

Service Proposals, Prevention Plans, Service Invoices

Quoted at the dock door. Paid on the record.

A proofing job you spotted on a round, or a year of inspections for a food plant: write the Service Proposal once. Your client approves through the emailed link, the deposit clears before you order materials, and the Service Invoice reuses those lines once the work is signed off.

From the proposal to paid

One proofing job, one record, from the opening quote to the closing payment.

Gaps under the dock doors at the distribution center turned up on last month’s round. Follow the repair through its record: every line priced once, never retyped, and nothing reaches your client before you send it.

  1. Price the workSeals and brush strips for six doors, the pipe penetration, and a follow-up inspection to prove it held. Each line gets a fixed price — or you bill the hours where the job can’t be sized from the doorway.
  2. Send the Service ProposalAn email takes your client to every priced line and the deposit asked for. Approval is optional: for small fixes on an account you already serve, you can skip it and put the job straight on the Inspection Calendar.
  3. Your client approvesFrom a phone in the warehouse office or a desk at head office, your client approves — or declines and gives a reason. You can tell when the proposal was opened and which answer came back.
  4. A deposit before the materialsAlso optional, decided per job: a set amount or a percentage of the total. When a deposit is asked for, the job holds at Awaiting Deposit and moves to Scheduled as soon as your client pays.
  5. Start the workAt the doors, press Start work. Your client receives an email that the proofing has begun at their distribution center.
  6. Sign it offWhen every door closes tight and the daylight check is logged, press Complete. An email tells your client the proofing is finished, and the Service Invoice opens with every line in place.
  7. The Service Invoice, from the same linesThe three lines carry across, less the deposit your client has paid. Review the total, then one click sends it.
  8. Paid in fullThe balance payment is logged on the Service Invoice, and an email confirms receipt to your client.

Work Record · optional, yours to send

Before, after, and every step between — ready when your client asks.

The moment a job is signed off, its Work Record is already there: each step as your technician logged it, a before and after photo, the materials used and the time on site. Keep it in the facility’s history, or pass it to your client on request — or any time the work is worth showing. Nothing is sent without you, and the Service Invoice never waits on it.

  • Built as the work is logged — no write-up waiting at the office afterward
  • Sent only when you choose: on request, or at will
  • Kept in the facility’s history either way, ready for the next audit file

Close up at floor level, the bottom corner of a grey steel roller dock door in a warehouse: its rubber seal is torn and daylight shows through the gap under the door.
The same dock door after the repair: a new black rubber seal runs along the bottom edge and meets the floor tightly, with no daylight showing underneath.

Prevention Plans

The whole program, on one signature.

A food plant’s inspections for the year go into one Service Proposal — the Prevention Plan — with each kind of round at its own price and frequency. When your client approves it, every round in it is approved and set on the Inspection Calendar.

  • Every round stands as a separate record, carrying the plan’s price and protocol
  • A call-out between rounds, or extra proofing found on one, is quoted and invoiced as its own lines
  • Each Service Proposal and Service Invoice can be printed or kept as a PDF under your company’s name

Every action is stamped with who took it — you, your client or the system — and when. If a client’s accounts team asks what was approved and the date it was paid, the History tab already holds the answer.

Questions

About proposals, deposits and invoices

Is this available now?

Not yet. Service Proposals, Prevention Plans, deposits, Service Invoices and payment records all arrive with Pesvaro at launch; every scene here is illustrated with an invented client.

Does the Service Invoice go to my client automatically?

No. It is built from the job’s own lines, so nothing is typed twice, and it reaches your client only after you have reviewed it and pressed send.

Can I take a deposit before buying materials for a proofing job?

Yes, when you want one. Set it on the Service Proposal as a flat sum or a percentage; until your client pays it, the job sits at Awaiting Deposit, then moves to Scheduled.

Can one proposal cover a whole year of inspections?

Yes — that is the Prevention Plan. Each kind of round carries its own price and frequency, and approving the plan approves every round in it.

Can I bill a call-out or extra work found on a round?

Yes. Put the materials and hours on the job; each becomes a separate line of the Service Invoice, so your client can see what every charge is for.
